Hyde Square Task Force is Hiring a Development and Communications Administrator

Hyde Square Task Force (HSTF) is an award winning youth development and social change organization. Each year, through high-quality arts, academic, and youth leadership programming HSTF serves more than 1,200 youth in the Hyde/Jackson Square area of Jamaica Plain and Roxbury. Our mission is to develop the skills of youth and their families so they are empowered to enhance their own lives and build a strong, safe, and vibrant urban community.

Position/title: Development and Communications Administrator, FTE position, reports to the Manager of Donor Relations and Special Projects and also works directly with the Senior Advisor for Strategy and Development.

Job summary: The Development and Communications Administrator will provide the team with high-level administrative and informational support including responsibility for managing and updating the donor and informational database, organizing and maintaining electronic and paper files, providing accurate and up-to-date information for correspondence, events, and analysis. S/he will work with printed materials, mailings, social media, special fundraising projects, site visits, and events. S/he will provide data analysis, write proposals and correspondence, manage research projects, and carry out other responsibilities as created and assigned. HSTF recently purchased the Blessed Sacrament Church building in Jamaica Plain and this position will provide direct support to the capital campaign process, community engagement activities and events, and other work related to the church yet to be determined. This position is new and will grow and change over time, in concert with needs that arise and in coordination with the candidate’s professional strengths.

Primary Responsibilities:
*Manage the database and provide accurate and up-to-date information whenever requested.
*Download lists from the database for mailings and events and for analysis for reports and publications.
*Carry out mailings for appeals, newsletters, major publications, and events.
*Ensure that all electronic and papers files are organized and up-to-date.
*Schedule calls, meetings, site visits, and travel plans.
*Provide support for partner and donor site visits and events, including set-up and materials.
*Create formatted materials for funders, visitors, the media, and other constituents.
*Write correspondence, press releases, acknowledgement letters, and more.
*Conduct research as needed about issues of interest to the team and/or organization.
*Assist the team with meetings—preparing documents and presentations and/or taking minutes.
*Research individuals for developing strategic approaches to new and existing donors.

Supervision:
Supervise youth, interns, and other volunteers as required for specific purposes.

Administrative: Responsible for giving input about, understanding, and managing the team budget, writing quarterly reports, maintaining files according to office and server systems, inputting data into evaluation systems, participating in office clean-ups, attending supervisory, department, and staff meetings and participating in annual planning. Participate in annual performance appraisal process.

Main job requirements:
*B.A. and 3+ years in administrative positions preferably supporting senior-level staff with development and/or communications and events.
*At least three years working with databases and information management.
*Very strong computer skills, especially MS Office Suite and preferably design programs such as Photoshop and InDesign.
*Very strong writing skills.
*Utmost attention to detail.
*Resourceful and reliable.
*Ability to take initiative, solve problems, and learn quickly.
*Strong interpersonal and verbal communication skills, able to work as part of a team in a flexible, open workspace.
*Ability to juggle multiple projects, set priorities, and coordinate well with others.
*Ability to work quickly and efficiently and produce results of the highest quality.
*Candidates with a sense of humor and knowledge about how to have fun in the workplace will be best suited to become a member of the team.
*Some night and weekend availability required.
*Ability to lift and carry up to 20lbs.

Preferred Qualifications:
Bilingual Spanish/English preferred.
Driver’s license required and car access preferred.
